Main Benefit

RMail for Applied Systems makes it easy for insurance brokers to track, prove, e-sign, and encrypt high value correspondence to clients, carriers, and re-insurers from within the Applied Systems platform, for HIPAA and GDPR compliance, reducing hard cost (paper, mail, courier), compliance risk, and the cost of administrative time.

Whether auto-encrypting based on message content policy after connecting Applied hosted email to the RMail Gateway, sending from Microsoft Outlook, sending from embedded email inside the platform, or using e-sign with RSign, RMail® and RSign® for Applied Systems protects sensitive email, documents and forms, speed business, and simplify compliance lowering risk.

RMail via the Registered Email service, provides insurance brokers assurance and proof of who said what when for any correspondence which carries a vital message and any correspondence of a highly sensitive/confidential nature (with the RMail encryption feature), in particular:

• Delivery to Client: quotation, policy, debit note, notice of cancellation, confirmation of coverage, and contract change (endorsement).
• Delivery to Insurer: claims notification, claims correspondence, risk submission, contract changes, and delivery of bordereaux.
• Delivery to Re-insurers: delivery of treaty statements.

RSign® provides feature-rich and affordable e-signature and digital forms automation to help them reduce to time to on-board new clients, maintain client relationships, improve overall customer satisfaction; all while dramatically reducing broker costs.

Automation

Applied Systems has several integration points, RMail for Outlook imaged into Applied Systems TAM Online, RMail for Outlook running alongside TAM or EPIC, or RMail Gateway automating encryption and other functions through a smart host connection from Applied Systems hosted email services. This adds for insurance brokers, email encryption, Registered Email™ e-delivery proof, open tracking, e-signatures, secure file sharing, email impostor protection, and automated policy-based encryption. Each message returns the final Registered Receipt™ records into the system to trigger follow-on account activities and to serve as a certified timestamped content e-delivery record. When using the RMail Registered Email™ service, the sender receives an automatic analysis of the delivery and email encryption forensics, cryptographically sealed to the delivery content and timestamp, and packaged as a Registered Receipt™ proof record.
